Privacy Policy
Last updated:
Evincia LLC ("Evincia," "we," "our," or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what information we collect, how we use it, who processes it on our behalf, and what choices you have. It applies to evincia.co and any related communications.
1. Information We Collect
Information you provide directly. When you fill out a form on our site (such as the Modernization Shield fit review form or the "Stay in the loop" email signup), we collect the information you submit. This includes your name, work email address, company, role, and any details you share about your environment, what's prompting you to look at it, and what you're hoping to get out of a conversation. If you contact us by email directly, we collect what you send.
Information collected automatically. When you visit evincia.co, we and our analytics providers automatically collect technical information such as your IP address, browser type, operating system, referring website, pages visited, time spent on pages, and approximate geographic location. We use this to understand how the site is performing and which pages are useful to visitors.
2. How We Use Your Information
We use the information we collect to:
- Respond to inquiries and prepare for conversations you've requested
- Provide and improve our services
- Understand which pages, calls-to-action, and content are useful to visitors
- Measure the effectiveness of our marketing and advertising
- Maintain the security and functionality of our website
- Comply with legal obligations
We do not sell your personal information, and we do not use your form submissions to add you to a marketing list without your explicit opt-in. If you submit the fit review form, we use that information only to prepare for a conversation with you. If you sign up for the "Stay in the loop" email list, we send you occasional field commentary on Microsoft platform deadlines and migration patterns; you can unsubscribe with one click.
3. Service Providers and Third Parties
We use the following service providers to operate the site and our business. Each one processes a specific category of data on our behalf:
- Formspree processes form submissions (the Modernization Shield fit review intake, the "Stay in the loop" email signup, and any other web forms). Your submission is routed through Formspree's infrastructure to our inbox. Formspree's privacy policy is at formspree.io/legal/privacy-policy.
- Google Ads (Google LLC) collects information about visits and ad interactions via the Google global site tag (
gtag.js). See Section 4 for details. - Google Analytics 4 (Google LLC) collects aggregate site usage data via the same Google global site tag. See Section 4 for details.
- Microsoft Clarity (Microsoft Corporation) records pseudonymous session activity including mouse movement, scroll behavior, and clicks, for the purpose of understanding how visitors use the site. See Section 4 for details.
- Microsoft Azure hosts the website. Standard server logs are maintained by Microsoft as part of the hosting service.
- Cloudflare provides CDN, security, and DNS services. Standard edge logs are maintained by Cloudflare for performance and security.
- Calendly handles appointment scheduling. If you book a call, Calendly collects the information needed to schedule it (your name, email, the time you selected, and any context you provide in the booking form). Calendly's privacy policy is at calendly.com/privacy.
We may also share your information when required by law, in response to court orders, to protect our rights, or in connection with a business transfer.
4. Cookies, Tags, and Tracking Technologies
We use cookies and similar technologies to measure how the site is used, understand which pages and calls-to-action are useful, and evaluate the performance of our advertising. You can control cookies through your browser settings.
Google global site tag (gtag.js). This site uses the
Google global site tag, which routes data to both Google Ads and Google Analytics
4. The tag may set cookies and collect data (such as IP address, browser
information, and pages visited).
- Google Ads: The conversion tracking portion of the tag records actions such as scheduling a call through our Calendly links. This helps us measure the effectiveness of our advertising. Google may use this data in accordance with its own Privacy Policy. You can opt out of Google Ads personalization at adssettings.google.com.
- Google Analytics 4: The analytics portion of the tag collects aggregated site usage data, including page views, scroll depth, outbound link clicks, and approximate session duration. We use this to understand which content is useful. You can install the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout to prevent your data from being collected.
Microsoft Clarity. We use Microsoft Clarity to capture pseudonymous session data -- Clarity assigns a visitor identifier, but gives us no name or contact details -- including mouse movement, scroll behavior, and clicks on page elements. Clarity does not record keystrokes, and form input fields are masked by default. This data helps us understand how visitors actually use the site so we can improve it. Clarity may use cookies to associate session events together. Microsoft's privacy policy is at privacy.microsoft.com. You can learn more about Clarity at clarity.microsoft.com/privacy.
If you prefer not to be tracked by any of these tools, browser extensions like Privacy Badger, uBlock Origin, or built-in browser settings (Brave Shields, Firefox Enhanced Tracking Protection, Safari Intelligent Tracking Prevention) will block them.
5. Data Retention
Form submissions. Information you submit through forms (fit review, email signup, contact forms) is retained for 24 months after the last interaction with you. After that, we delete it unless we have a legitimate reason to keep it longer (for example, an active engagement, an open commercial conversation, or a legal obligation).
Email correspondence. Direct emails to and from Evincia are retained in our mailbox for as long as the conversation remains active or for as long as our business records reasonably require.
Analytics data. This data (Google Analytics 4, Microsoft Clarity) is retained according to each platform's retention settings: Google Analytics 4 keeps event-level data up to 14 months (its maximum); Microsoft Clarity keeps session recordings 30 days, with click and heatmap data kept longer. We rely on the platforms' own retention controls and do not hold this analytics data ourselves beyond those retention periods.
Advertising data. Google Ads conversion data and audience data are retained per Google's default policies and Google Ads account settings.
If you would like us to delete information we hold about you, see Section 7.
6. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect your personal information. Form submissions are transmitted over encrypted connections (HTTPS). Service provider relationships are with established vendors (Google, Microsoft, Cloudflare, Formspree, Calendly) that maintain their own security programs. However, no method of transmission over the Internet is completely secure, and we cannot guarantee absolute security.
This policy covers personal information collected through the website and related communications. For the operating boundary around client source analysis, initial diagnostic evidence, and optional AI-assisted synthesis, see Security & Data Handling.
7. Your Rights and Choices
Depending on your location, you may have rights regarding your personal information, including the right to access, correct, export, or delete the data we hold about you. You can also ask us to stop using your information for specific purposes.
To make a request, email us at the address in Section 11. We respond to verified requests within 30 days. We may need to verify your identity before fulfilling a request.
8. Third-Party Links
Our website may contain links to third-party sites. We are not responsible for the privacy practices or content of those sites. When you click an outbound link, you leave Evincia's site and any data collection from that point forward is governed by the destination site's own privacy practices.
9. Children's Privacy
Our services are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in how we operate or in legal requirements. The "Last updated" date at the top of this page will indicate the most recent revision. Material changes will be communicated through a notice on the site for a reasonable period after the change.
